The key to success is starting out right. Scan One rigorously tracks each and every document that is received into our chain of custody. The first step is to get all of your invoices in the right place. We will provide you with a dedicated post office box and help you work with your suppliers so that all invoices are sent to a single location. In addition to receiving and document preparation, services include vendor notification, re-assembly, file purging, shredding and recycling.
Document Control, Confidentiality
To ensure efficiency and security, documents are picked up daily by a Scan One courier and immediately received into our production control system, batched and bar-coded. At any point in the process, we can tell you who touched your document (physically or electronically) and what transaction took place, whether it is an invoice, a catalog, or just a piece of junk mail. Scan One adheres to formal security, privacy and confidentiality policies and procedures throughout the entire chain of paper custody.
Document Preparation
In addition to receiving electronic documents, Scan One opens and prepares paper documents for scanning and processing. Formalized best practices and customer-driven instructions are used to ensure the highest quality and accuracy. Our unique strategies were developed to handle a variety of paper complexities, and are an important part of our initial production process.
